Email signature for accountants and bookkeepers

Your clients get invoices, reminders and now and then a fake one from a scammer. A consistent, recognisable signature helps them see which emails really come from you.

Q3 VAT return ready to check

Hi Sophie,

Your Q3 VAT return is ready. Could you check it in the client portal before Friday? Please upload the two missing receipts there too, not by email.

Kind regards,

Why it matters

What your signature needs to do

  1. 01

    Consistency is a security feature

If every email from your office looks the same, an odd one stands out. Give the whole team the same template, colours and wording.

  2. 02

    Point to the secure channel

Clients will happily email you passport scans and payslips. A link to your client portal or upload page nudges them towards the safer route.

  3. 03

    Bank details belong on invoices

Don't put your IBAN in your signature. Keep it on invoices, and tell clients you'll never change bank details by email. That one line makes payment-redirect scams easier to spot.

Include

What to include

  • Name, role and any professional designation you actually hold
  • Firm name, address and main phone number
  • Your company registration number, if that's expected in your country
  • A link to your client portal or secure upload page
  • A line saying you never change bank details by email

Leave out

What to leave out

  • Your IBAN or other bank details
  • Titles you don't hold (some, like CPA, are protected)
  • Tax tips or promotional banners

Frequently asked questions

Should I put my bank details in my email signature?

We'd advise against it. If bank details only ever appear on your invoices, clients learn that an email with 'new' bank details is a red flag. Add a line saying you'll never change them by email.

Can I use 'accountant' as my job title?

Use the title you actually hold. Designations like CPA, or RA and AA in the Netherlands, are protected. If you're not qualified, 'Bookkeeper' or 'Financial administrator' is clear and honest.

How do I give every employee the same signature?

Make one design, then use the team generator with a CSV of names, roles and phone numbers. Everyone gets the same layout with their own details.
