How to add an email signature in Apple Mail on Mac

Apple Mail keeps a pasted signature intact, with one catch: a checkbox that forces your default font. Untick it before pasting, and it works.

Step by step

6 steps
  1. 1

    Step 01 / 06

    Copy your signature

In the builder, click Copy signature. Safari, Chrome and Firefox all work.

  2. 2

    Step 02 / 06

    Open Signatures

In Mail, choose Mail › Settings (called Preferences on macOS Monterey and older) and click the Signatures tab.

  3. 3

    Step 03 / 06

Add a signature to your account

Select your email account in the left column, then click + below the middle column. Give it a name.

  4. 4

    Step 04 / 06

    Untick the font checkbox

Untick Always match my default message font below the preview. If you leave it on, Mail replaces your fonts and sizes.

  5. 5

    Step 05 / 06

    Paste it in

Click into the right-hand pane, select the placeholder text with ⌘+A and press ⌘+V. Images may show as a blue question mark here; that's normal.

  6. 6

    Step 06 / 06

    Make it the default

Use the Choose Signature menu at the bottom to select it for this account. Close the window; it saves automatically. Send yourself a test.

P.S. Good to know

  • Apple Mail signatures sync to other Macs via iCloud, but not to your iPhone. Set that up separately.
  • Write in plain text by default? Mail sends signatures as plain text then. Switch via Format › Make Rich Text or in Settings › Composing.

Not working?

The most common problems, and what to do about them.

My images show as a question mark.

In the Settings preview that's common and harmless. In a new email they should load. If they don't, check that Mail isn't blocking remote content (Settings › Privacy › Protect Mail Activity can delay it).

The fonts changed after pasting.

The “Always match my default message font” box was still ticked. Untick it, delete the signature content and paste again.

Can I edit it later?

Yes, but for anything beyond a typo, edit in the builder and paste again. Apple Mail's editor is fiddly with tables.

No signature yet?

Make one in two minutes.

Free, no account, no watermark. Copy it and paste it into Apple Mail with the steps above.
